Accessible Docs is the trading name of Ben Pattison. This page explains what happens to your documents and details when you send something for a free check or ask me to fix it. If you have a question, email hello@accessibledocs.co.uk.
What I collect
- Your name, email address and organisation, from the form or your email
- The document you send, or the link to it, and anything you write in the note
- For paid work: the purchase order number and the invoice details you give me
What I use it for
Only to check your document, send you the report and quote, do the work if you go ahead, invoice you and reply to you. I don't add you to a mailing list and I don't share your details with anyone else.
Where it goes
- Google (Drive, Sheets and Gmail): your document, the report, the fixed file and our emails are stored here.
- GitHub: the check and the fix run on GitHub’s servers. Your document is copied there for the run and isn’t kept afterwards.
- Anthropic: pictures and charts from your document are sent to Anthropic’s AI service to draft image descriptions and spot charts that need redrawing. I check every description myself before anything is sent back to you.
- IONOS hosts this website and the hello@ mailbox.
- Stripe or PayPal, only if you choose to pay by card or PayPal.
How long I keep it
- Your document, the report and the fixed file are deleted 30 days after the work is finished. If you don’t go ahead after the free check, they’re deleted 30 days after your report.
- Invoices and the basic record of the job (your name, organisation and what was paid) are kept for six years, because HMRC requires it.
Your rights
You can ask for a copy of what I hold about you, ask me to correct it, or ask me to delete it sooner. Email hello@accessibledocs.co.uk. If you’re unhappy with how I’ve handled your information, you can complain to the Information Commissioner’s Office.
